In plain words
Toimeen gives your company a team of AI agents that read your mail and documents and prepare the work: replies, reminders, purchase orders, invoices for your accounting program. Nothing leaves your company without a person in it approving it. You decide; we provide the software and keep your data safe. The agents can be wrong, so look at what they prepare before you approve it. Either side can end the agreement with 30 days' notice.
1. The agreement
These terms are an agreement between Fidanet Solution Oy (Business ID 3497432-1, Marinkallio 6b, 02320 Espoo, Finland; "we") and the company or person who creates a Toimeen account ("you"). They cover the Toimeen app at app.toimeen.com, the Telegram bot, the website toimeen.com and any related service (together "the Service").
By creating an account you accept these terms and the documents they link to: the Privacy policy and the Data processing agreement. If you accept on behalf of a company, you confirm that you may bind it.
2. Pilot phase
Toimeen is in a pilot phase. Accounts are opened with an invitation code. During the pilot the Service is free of charge unless we agree otherwise in writing. Before any fee applies we tell you the price at least 30 days in advance, and you choose whether to continue. Features may change during the pilot as we learn what works.
3. Your account
You must be at least 18 years old and able to make a binding agreement. Give correct information when you sign up and keep it up to date. You confirm your email address with a code we send to it.
You are responsible for the people you invite into your company's office, for the roles you give them, and for keeping passwords safe. Tell us at hello@toimeen.com straight away if you suspect someone else has used your account.
4. How the agents work, and who decides
The agents prepare work: they read mail and documents, draft messages, fill in forms and suggest actions. Anything that would leave your company, such as an email, an invoice, an order or an entry in another system, waits in your approval inbox until a person with the right role approves it in the app or on Telegram. Above the approval limit you set, only an owner or an administrator can approve.
Toimeen does not move money and does not file anything with authorities on your behalf.
5. AI output
The agents use large language models. Their output is probabilistic and can be wrong: a figure misread from a PDF, a customs code that does not fit, a reply in the wrong tone. You are responsible for checking what you approve. The Service is a tool; it does not replace your own judgement or the advice of an accountant, a customs broker or a lawyer.
6. Your content and connected services
Everything you or your connected systems bring into Toimeen stays yours: mail, attachments, files, documents, customer and supplier data, and what the agents prepare from them ("your content"). You give us the right to store and process your content only to provide the Service to you, to keep it secure and to meet our legal obligations. The right ends when your content is deleted.
You may connect Toimeen to your own services, for example Gmail, Microsoft 365, an IMAP mailbox, Procountor, Fizzy, Baslic, ERPNext or Twenty. We store the access keys encrypted and use them only for what the connection is for. Those services are governed by their own terms, and you can disconnect them at any time. You confirm that you have the right to let Toimeen process the data in them, including other people's personal data.
7. Research on public sources
The research agent (Tutkija) reads public web pages and public registers, such as the Finnish trade register, when you ask it to. It identifies itself as ToimeenBot and respects robots.txt; see ToimeenBot. Research about individual people is off by default. You may use the research only for lawful business purposes and must not use it to profile private individuals.
8. Acceptable use
You agree not to:
- use the Service to break the law or anyone's rights;
- send unsolicited bulk messages, or use the agents for spam, phishing or fraud;
- try to reach other companies' data, other accounts or our infrastructure without permission;
- probe or test the Service's security without our written consent (we welcome responsible reports to hello@toimeen.com);
- use the Service to build a competing service or to train AI models;
- load the Service in a way that harms other users.
9. Availability and support
We aim to keep the Service available and to announce planned maintenance in advance, but during the pilot we do not promise a contractual service level. Support is given in Finnish and English on Finnish business days by email at hello@toimeen.com.
10. Intellectual property
The Service, its software, design and brand belong to us. You get a non-exclusive, non-transferable right to use the Service while your account is active. Feedback you send us may be used to improve the Service.
11. Confidentiality
Both of us keep the other's confidential information secret and use it only for this agreement. This does not cover information that is public, was already known, or was developed independently.
12. Ending the agreement
You can close your account at any time by writing to us; we may end the agreement with 30 days' notice. We may suspend or close an account at once if it is used in serious breach of these terms or in a way that puts others at risk.
After the agreement ends we give you your content in a machine-readable form on request for 60 days, and then delete it within 30 days, unless the law requires us to keep it longer. The Privacy policy and the Data processing agreement describe this in detail.
13. Warranties and liability
The Service is provided as it is. To the extent the law allows, we give no warranties beyond those in these terms, and we do not promise that the Service is free of errors or interruptions.
Neither of us is liable for indirect or consequential damage, such as lost profit or lost data. Each party's total liability is limited to the fees you paid us in the 12 months before the event that caused the claim. These limits do not apply to breaches of confidentiality, wilful misconduct or gross negligence, or where the law does not allow a limit.
14. Changes to these terms
We may update these terms. We tell you about material changes by email and in the app at least 30 days before they take effect. If you do not accept them, you can close your account before that date.
15. Law and disputes
Finnish law applies, without its conflict-of-law rules. Disputes are settled in the Helsinki District Court. A consumer may also bring a case in the courts of their home municipality.

If these terms, the Data processing agreement and the Privacy policy conflict, the Data processing agreement decides personal-data matters, then these terms, then the Privacy policy. These terms exist in several languages; if the versions differ, the English one applies.
